Vendor Details

Do you have a special craft? Do you sell local merchandise? We are looking for vendors!​

 

Welcome to Moonshadow Festival! We're thrilled to have you as part of our event. Below is all the essential information you need to prepare for vending at our festival.

Application Process

  1. Application Deadline: All vendor applications must be submitted by December 1, 2024.

  2. Application Form: Please complete and submit the application form available on our website.

  3. Vendor Fees:

    • Craft Vendors:

      • Items priced $0-$25: $150 fee.

      • Items priced $25-$50: $175 fee.

      • Items priced $50-$75+: $200 fee.

    • Food Vendors: $500 flat rate registration fee.

Booth Information

  1. Booth Sizes: Each vendor will be allocated a 10x10 space. 

  2. Included Amenities: A designated 10x10 space. Minimal access to electricity, so please bring your own power sources, extension cords, and coordinate with Director Melissa.

  3. Set-Up and Tear-Down Times:

    • Set-Up: Thursday before the festival or Friday Morning before Gates Open.

    • Tear-Down: Sunday after 5 PM.

Regulations and Requirements

  1. Permits and Licenses: Food vendors must provide proof of insurance and health department certificates.

  2. Health and Safety Guidelines: Vendors are expected to follow all health and safety regulations.

Payment and Sales

  1. Accepted Payment Methods: Be prepared to accept all types of payment methods. Note that there is no public Wi-Fi available, so plan accordingly.

  2. Sales Tax Information: Vendors are responsible for handling their own sales tax reporting and compliance.

Marketing and Promotion

  1. Promotion Opportunities: We will promote your participation on our social media channels. Please include a picture, bio, and your social media links in the application that you are comfortable with us using.

  2. Vendor List and Map: Vendors will be included in the published list and map of the event for attendees.

Miscellaneous

  1. Sustainability Initiatives:

    • No plastic bags.

    • Composting efforts.

    • Use of 'green' plates, cups, etc.

    • Up-cycling and recycling efforts.

  2. Weather Contingency Plans:

    • Clean up your area even in adverse weather conditions.

    • Failure to clean up will result in a fine up to $500 and a potential ban from future events.

    • Security will be on watch at night, but vendors are encouraged to secure their valuables.

  3. Teammates ​

    • Craft Vendors - you are allocated two general admission passes and only one car pass for yourself and a teammate to help you vend for the weekend. Extra tickets can not be given as a gift to a non-working person nor sold.

    • Food Vendors - you are allocated general admission passes depending on your hours of festival operations. Extra tickets can not be given as a gift to a non-working person nor sold. 

  4. Scheduling​

    • Each vendor makes their own hours, however they must be posted and coordinated ahead of time.
